Picture this: you are preparing for your first-ever backcountry hunting trip. You realize you are missing a key item, and the biggest trade show in the industry comes to town. It’s the perfect opportunity to shop for that spotting scope you’ve been eyeing. Usually, this would be the best time to see the products you’ve wanted to check out from brands you love. But what if you didn’t have to look at them under the fluorescent lights of a boring trade show? What if you could actually get hands-on experience with the product in its intended environment?

When our outdoor-focused counterpart, TREAD Agency, started the Traction Series, we were under those same sterile fluorescent lights, thinking how cool it would be to test out a scope in the backcountry of Montana instead. Boom, the Traction Series was born.

Okay, maybe it wasn’t all that simple, as crafting engaging experiential events is always a lot of hard work.

We planned to undertake three types of experiential events in remote parts of the United States. While we had experience hosting experiential events with our clients, we wanted this to feel different and like no other. Our goal was to bring together select media members and content creators and pair them with the right brands and products in their natural settings. They could interact and learn about those products while guided by industry experts.

Experiential events allow attendees to get hands-on experience with whatever you are presenting. How can we best do that? First and foremost, you need to understand what your audience is experiencing and why you are holding the event. You need to have a “what” to your “why.” We’ve learned throughout this process that attendees have their own “why,” and they want to know yours, so have that established.

 

It’s OK to be picky.

The second most important thing when planning an experiential event is having the right people in attendance (this cannot be stressed enough). Typically, experiential events are smaller and attract a unique group of people interested in a specific niche. When hosting our Traction Series events, we carefully crafted the guest list. Why? Because you need the right people in the right place at the right time. You don’t want people who aren’t interested in the niche, aren’t interested in the products, or are too busy to be engaged. In this instance, it is okay to be picky, as you are planning something far more intimate than placing targeted ads on someone’s Instagram feed. Be intentional. Remember, details matter.

The third most important thing is logistics. Plan down to every detail. Do your guests need flights? When do they need to arrive at the nearest airport? Plan for it. Is the weather a little sketchy, and they may need to pack certain items? Let them know. Is your venue booked and the food organized? Make sure your guests have a place to sleep, and remember that food is fuel. Is the schedule for your event planned, and do your guests have an itinerary? They should. With logistics, it is essential to leave no questions unanswered.

Experiential events are fun and unique, requiring a lot of hard work. If you are prepping for an experiential event, remember the following:

The key is to be flexible and ready to adapt. Have backup plans in place and maintain open communication with your team and attendees. This could mean having an alternate activity in case of inclement weather or having extra supplies on hand if something goes missing. The ability to pivot gracefully can turn potential hiccups into memorable moments that showcase your team’s resourcefulness and keeps the event going smoothly.
  2. Engage and Evaluate: Once your event is underway, actively engage with your attendees. Gather real-time feedback and observe how they interact with the experiences you’ve created. Are they excited and engaged? Are there any aspects that seem to be falling flat? Use this information to make on-the-spot adjustments and inform future events. Post-event surveys can also provide valuable insights for improvement. Remember, the goal is to create lasting impressions and meaningful interactions that resonate with your audience.
  3. Create a Lasting Impact: Think about the long-term impact of your event. Experiential events should leave a lasting impression that continues to resonate with attendees. Capture the highlights through photos and videos, and share them on your social media channels and in follow-up communications. Encourage attendees to share their experiences as well. This extends the life of your event and builds a community around your brand. By fostering this sense of connection and engagement, you’re creating advocates who will remember your brand long after the event has ended.
